Complaint Handling Policy
The editorial board and staff of the collection of scientific papers «Book Qualilogy» intend to respond promptly and constructively to all complaints and to resolve them.
The handling of complaints regarding violations of publication ethics is a process based on international standards, in particular the recommendations of the Committee on Publication Ethics (COPE). Suggestions or complaints should be sent to the email address of the collection of scientific papers «Book Qualilogy»: kvalilohiya.knyhy@gmail.com. All messages will be reviewed within thirty working days. However, depending on the complexity of the complaint, additional time may be required to complete the investigation.
A complaint must be concise, specific, and contain sufficient information to demonstrate any possible violation of publication ethics. Where possible, supporting documents confirming the claim should also be provided.
Personal complaints against authors, editors, reviewers, or members of the journal’s editorial board will be answered with an explanation of why the complaint has been deemed to fall outside the journal’s responsibility. In addition, the journal refrains from conducting an investigation if complaints are submitted in an offensive, threatening, or defamatory manner.
Editorial Procedure in Case of Alleged Violations
(plagiarism, data falsification, conflict of interest, etc.)
- The process begins when a written complaint is received by the editorial office.
Actions of the Editor-in-Chief:
- acknowledge receipt of the complaint within 3–5 working days;
- conduct a preliminary assessment to determine whether the complaint is substantiated and contains specific evidence (e.g., references to plagiarized sources or indications of data manipulation);
- if the complaint lacks evidence or is of a personal/abusive nature, it may be rejected.
- If the complaint appears substantiated, the editorial office initiates an investigation process, including:
- all case details remain confidential until the investigation is completed;
- the editor contacts the author with a request to provide an explanation regarding the identified issue;
- collection of evidence: comparison of texts using plagiarism detection systems, verification of raw data, analysis of image metadata.
- In complex cases (e.g., authorship disputes or statistical manipulation), the Editor-in-Chief may involve:
- independent experts (if specialized expertise is required).
- Based on the explanations and evidence received, the editorial office selects one of the following actions (including but not limited to):
| Investigation Outcome | Recommended Action |
| Minor violation (e.g., citation error) | Correction (Erratum) |
| Unproven violation | Case closure, notification of parties |
| Serious violation (plagiarism, data fabrication) | Retraction of the article |
| Dispute between authors | Suspension of publication until the authors resolve the conflict |
- The author has the right to appeal the editorial decision within 14 days.
To do so, they must provide new substantial evidence that was not previously considered. Repeated appeals based on the same arguments will not be considered.
Important: The editorial office must act objectively, adhere to the presumption of the author’s innocence until the investigation is completed, and avoid any personal conflicts of interest during the investigation.
